Specific Job Responsibilities

  • Establish expectations in first meeting to educate client on design fees, projected timeline, project management, and closeout
  • Follow the sales and design process: set initial client meeting, assess services, coordinate with designer on site and client analysis to create concept drawings, create proposal, create proposal/estimate and present design to client, keep client informed of all phases of the project and follow-up within 24 hours to resolve issues when necessary until final completion

Duties and responsibilities in this position:

Personnel

  • Coach and assist front line leaders with employee relations matters, including leave management, corrective action, terminations, investigations, etc.
  • Address employee questions/concerns in a timely manner, handling sensitive issues with confidentiality
  • Conflict facilitation: take lead in employee conflicts and assisting management team in proper procedures, investigation of conflict/complaints with proper documentation, and work with management on conflict resolution according to company policies
  • Manage uniform tracking system and employee clothing purchases and credits: input new employees, issue uniforms according to position, track and inventory weekly, order new uniforms as needed (typically on a quarterly basis), and guarantee proper billing.
  • Update attendance tracker and calendar system by utilizing time tracking reports as well as requests with regards to any scheduled or unscheduled time off weekly. Coordinate with management on attendance issues and corrective action and documentation
  • Tracking of reviews, assisting with scheduling and training with review supervisor on proper review process
  • Ensure follow up with employee and SQE Director and review supervisor on progress of training and performance review goals and coordination with employee on career development plan is completed by Talent Acquisition Specialist.
  • Participate in hiring process by completing background checks.
  • Schedule and assist with onboarding of new employees and facilitate new hire paperwork completion
  • Assisting and/or leading employee retention and training programs, especially HR related training topics
  • H-2B/visa worker program: coordination with visa agency to provide documentation/information, assisting in arrival/departure of visa workers, keeping proper documentation and records, and coordination with management regarding conflicts or issues
  • Attend morning employee arrival and roll-out, safety/production/manager meetings, and plan job site visits to observe and talk with team members
  • Conduct monthly meetings with management to touch base on issues, needs, and be used for discovery of areas of training and improvement
  • Assist with facilitation of annual employee surveys

Payroll

  • Input new employees into system and update current and noncurrent employees
  • Review and confirm with Production Managers on employee hours and confirm pay rates
  • Input employee deductions (earnings deduction such as insurance or purchases from Hidden Creek)
  • Run payroll report from time tracking system, confirm all hours are correct, verify with Controller that all jobs have been imported into Payroll system, then import hours into Payroll system
  • Make needed adjustments in payroll system such as inputting paid time off, bonus or reductions in pay do to unpaid time off
  • Run payroll reports and verify all final totals pertaining to hours, deductions, pay, etc. is correct – submit payroll
  • Confirmation all employee paychecks were delivered, and distribution of paychecks once arrived

Benefit Administration

  • Insurance programs: administrator of all employee medical and dental plans (or any other additional insurance programs) and coordinate with insurance agency as well as utilizing Benefit Administration online portal for new hires/terminations, confirmation of correct invoicing, and coordination of open enrollment and new employee enrollment
  • 401k administration: coordinate with Plan Administrator and Financial Advisor (or any TPA associated with 401k) as well as utilizing retirement online portal for new hires/terminations, confirmation of correct deferrals, and new employee enrollment

Compliance/Policy Management

  • Develop recommendations and maintain human resource management best practices to ensure compliance with employment laws and regulations
  • As needed modification Employee/Company Handbook, creation of new company policies/SOPs/forms, and quick response to new personnel issues that will arise with continued growth of company
  • Oversee Worker’s Compensation/Unemployment Compensation/OSHA/FMLA/I-9 compliance and procedures
  • Injury/Accident: administration of proper documenting of any employee injury, vehicle/equipment accident, or property damage
  • Handles confidential information in an appropriate manner, portrays a positive image for Hidden Creek with external contacts and internally with employees

Strategic Planning

  • Provide reporting and analytics to support management with data to help inform decision making by identifying trends
  • Continual research and development of recommendations on company-wide human resource management best practices
  • Provide reporting, analytics, and recommendations to assist in company growth and organizational plan

Culture and EXPECT MORE:

  • Assist with company monthly meeting, picnic, Christmas party, or any other company events

Key Performance Indicators:

  • Payroll process is ontime and correctly submitted no later than end of day Wednesday of each payroll week.
  • 24-hour submission of incident/accident reports from management
  • Employees educated and enrolled in benefits programs with no delay in coverage and correct deductions in payroll (if applicable) to ensure company and employee costs are starting at the same time and elections occur in new hire paperwork.
  • No company penalties occurred due to incorrect or out of date documentation required by federal/state/local regulations
  • Same day turnaround of most employee requests or changes (ex. Uniform request, change of payroll information, benefit inquiry etc.)
  • Assigned HR budgets are kept within plus/minus 3% of budgeted amount

Strategic Importance of this Role to the Company:

The Designer role at Hidden Creek Landscaping has many opportunities to show their creativity and task management skills. This position is responsible with representing the Hidden Creek Landscaping core values of unique design, right plant for right location, long term vision, and most importantly the ability to listen to the client and be the expert. You will need to interact with the clients, project managers, operations manager, and contract administrator while spending most of your time with the current Sale team.

You must work closely with sales to best understand the client’s desired expectations and how we can provide all items necessary to ensure the utmost satisfaction upon completion. The techniques that you may utilize are as follows, meetings, photos, sketches, plans or any means necessary to convert the initial design into a final conceptual plan, followed by Construction Documents. Please make sure to follow the guidelines of Safety Quality Efficiency to ensure the success Hidden Creek Landscaping has set out to achieve. Remember our clients may hire the sales person but they buy into the vision you have provided.

Roles and Responsibilities in this position are:

Design

  • Weekly meetings with Division Head, Sales staff and Operations affiliated with the Design/ Build division to review current workload and pipeline.
  • Utilize the Start Clean / Finish Clean process with every project in your current workload
  • Work with sales team to give them the best information possible so that the correct plan can be presented.
  • Coordinate with sales and project managers to ensure plans are being built as designed. Work with them to understand best practices or better construction details to assist with the crew’s productivity.

Marketing/ Research/ Coordination

  • Assist with marketing campaign for Hidden Creek in all branding opportunities. This may be through research of current trends, award submittals, clients’ surveys, etc.
  • Research the newest materials being utilized in this industry, new methods to eliminate waste through value engineering, and set Hidden Creek Landscaping above competitors with this information.
  • Assist in the communication and coordination with vendors, subcontractors, and production staff.
  • Assist sales team in creating design division standards for increased productivity and increased design fees.

Specific Job Duties for Design/ Build Sales

  • Track hours per job to study our current production rates (conceptual/ research/ inspiration/ Construction Docs.)
  • Assist Sales team with in-house or onsite meetings to explain design intent with clients.
  • Advise sales team how to gather the best Intel from the client through the DreamBuilder, on site interviews, site measurements, and personal background info on client and property to be relayed to design team.
  • Working knowledge of design board and whom owns each project.
  • Work to collaborate with other designers to teach and educate whenever possible.
  • Enhance marketing, sales or industry knowledge by attending one networking or education event a quarter.
  • Assist sales team with maintaining Design Center aesthetics and presentation capabilities.

Critical Drivers:

POSITION: Landscape Project Manager

DESCRIPTION

Hidden Creek Landscaping is looking for an organized and driven individual to join our team as the Landscape Project Manager.

This position coordinates with the Director of Operations and Sales team to take the sold contract and implement it into production. This role includes purchasing materials, scheduling equipment and installation crews, overseeing training and safety, and coordinating with subcontractors to meet budget and goals of each project.

  • Management of 3-4 Landscape Installation Crews from morning prep to end of day close out

POSITION: Mechanic

DESCRIPTION

Strategic Importance of this Role to the Company:

The Mechanics are a pivotal part to the success of Hidden Creek Landscaping and all Divisions of the company. In this position, you will be accountable for all duties pertaining to shop organization and cleanliness on a daily basis and striving for Safety, Quality, and Efficiency in every task. Proper communication and teamwork is needed in order to coordinate with each Divisions Operations Manager to ensure priorities are being met and systems are being followed by all team members. Utilizing proper time management, a positive and team centered attitude, and being a self-starter are all critical drivers to success with this position.

My duties and responsibilities in this position are:

  • Maintaining and repairing light to heavy duty equipment, trucks and trailers
  • Repairing small engines, 2 cycle engines, hydraulics, snow removal equipment and conventional gasoline & diesel engines
  • Welding, metal fabrication as needed
  • Ability and willingness to be flexible with work schedule to maintain and repair equipment when necessary
  • Keep company operations on schedule and repairs within specified budgets
  • Ability to be an ideal team player and help in other situations and duties not specific to the exact job role

Morning Shift:

  • Open Shop at 6:30
  • Review Evenings updates and notes.
  • Looking at trucks and equipment to see what is red tagged from the prior day.
  • 6:45AM be ready for dispatch and crews to roll out. Any trucks that are failed at gate check will be directed to the mechanic before being allowed to leave the yard. Be there ready to assist.
  • Review truck and trailer audits and fill out work tickets for evening shift.
  • Review board new work tickets and make priority list by availability and parts needed.
  • Get approval on orders over $250 from Operations Manager.
  • Keep monthly file of pre-trip inspections and follow up with drivers to make sure any deficiencies are written up on a maintenance request form.

Mid shift End of Shift:

  • Assist with any projects that require multiple people in the yard/shop
  • Assist with any mid-day yard clean-up projects
  • Clean up work area, make sure afternoon shift is good to go for the night

Afternoon Shift:

  • 11:30 Review shop status and any new urgent items needing addressed.
  • Review the Board and projects needing completed.
  • Order parts and acquire PO’s as needed
  • Work on Projects

Evening and End of shift:

  • Be available for crews at end of day for assistance on equipment that may need repaired.
  • Perform work on any truck and trailer audits from morning list.
  • Fill out progress and notes for morning shift.
  • Clean up work area.
  • Arm building if last one at shop. Closing manager will still perform closing duties and shut gates.

BOTH SHIFTS DAILY:

  • Review the daily task board and update plan for the day.
  • Mix fuel tank- mix oil into tank. Marble cliff schedule is usually in the morning.
  • Perform repair and maintenance of fleet vehicles in a safe manner in compliance with all local, state, and federal regulations and company policies. When needed to take warranty/ major repairs to outside vendors.
  • Service fleet vehicles per company maintenance schedules
  • Inspect, lubricate, and service vehicles and equipment.
  • Complete adjustments, repairs, and component replacements to vehicles, equipment, and related components.
  • Check, fill, and/or change appropriate fluids for all vehicle parts and check/change filters.
  • Inspect, repair and/or overhaul vehicle support systems, such as electrical, and brake systems.
  • Identify and perform repairs and adjustments to various components and operating systems on the vehicles, equipment or related components.
  • Ensure all safety devices on vehicles are in good working order.
  • Perform roadside repairs and adjustments.
  • Perform routine housekeeping duties related tools, materials, shop and work areas.
  • Professional interaction with internal and external customers.
  • Perform required administrative duties when necessary, such as cycle counts, parts requisitions, warranties, etc.
  • May assist in other areas of the vehicle maintenance shop as needed.
  • Maintain accurate records (time, repair orders and parts usage) on computer.
  • Other duties as assigned.

Weekly:

  • Keeps equipment available for use by inspecting and testing vehicles, completing preventive maintenance such as, engine tune-ups, oil changes, tire changes, replacing filters.
  • Maintains vehicle functional condition by listening to operator complaints; conducting inspections; repairing engine failures; repairing mechanical and electrical systems malfunctions; replacing parts and components; repairing body damage.
  • Verifies vehicle serviceability by conducting test drives; adjusting controls and systems.
  • Complies with state vehicle requirements by testing engine, safety, and combustion control standards.
  • Maintains equipment appearance by cleaning, washing, and painting.
  • Keeps shop equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.
  • Saves costs by using warranty, evaluating service and parts options.
  • Keeps supplies ready by inventorying stock; placing orders; verifying receipt.

POSITION: Design Build Crew Member

DESCRIPTION

Our Landscape Construction Laborers will be responsible for performing a variety of work tasks (generally physical labor) in order to assist with the completion of maintenance and hardscape installation services. You will also be required to operate a variety of tools and equipment to carry out specified job tasks.

Roles and Tasks:

  • Assist the work of crew members to ensure proper safety, quality, and productivity
  • Inspect all work for quality to eliminate the need for return visits and/or re-work due to quality or customer satisfaction issues
  • Make sure assigned jobs are complete, within budgeted hours, and quality of service exceeds customer expectations
  • Conduct daily inspections and maintenance on vehicles, tools, and equipment
  • Conduct before and after inspections of job site
  • Maintain and enforce standards of cleanliness and organization in assigned trucks, trailers, equipment, jobsites, and shop/yard areas
  • Ensure that all work activities are carried out in a safe and efficient manner, and that all crew members are in compliance with government and company PPE (Personal Protection Equipment) standards
  • Various work assignments including patio installation, outdoor kitchens, retaining walls, pavers, water features, low voltage lighting, plant installations & maintenance, wooden structures and masonry
  • Operate power equipment including, but not limited to, masonry saw, skid steer, mini excavator, sod cutters, chain saws, and more
  • Cut grass, trim edges, clean up refuse, blow trimmings, Assist in Weeding of landscape beds, Assist in hand pruning (3 D’s), (dead diseased or damaged) trees under 12’, annual and perennial care

POSITION: Maintenance Crew Member

DESCRIPTION

Strategic Importance of this Role to the Company:

The Maintenance Field Technician shares Hidden Creek’s vision of providing exceptional customer service to all of its many clients. This position is responsible for assisting the Foreman and your fellow crew members with all aspects of daily work. You will help to insure the client’s expectations for site quality and services are being met or exceeded.

The Field Technician will be responsible for performing a variety of work tasks (generally physical labor) in order to assist with the completion of maintenance services. You will also be required to operate a variety of tools and equipment to carry out specified job tasks.

Roles and responsibilities in this position are:

  • Communicate with your Foreman to plan out the day.
  • Assist your Foreman in the loading/unloading of trucks and trailers in the AM and PM including all daily labor, equipment and materials required to complete daily objectives.
  • Assist the work of crew members to ensure proper safety, quality, and productivity.
  • Inspect all work for quality to eliminate the need for return visits and/or re-work due to quality or customer satisfaction issues.
  • Make sure assigned jobs are complete, within budgeted hours, and quality of service exceeds customer expectations.
  • Conduct daily inspections and maintenance on vehicles, tools, and equipment.
  • Conduct before and after inspections of job site.
  • Maintain and enforce standards of cleanliness and organization in assigned trucks, trailers, equipment, jobsites, and shop/yard areas.
  • Ensure that all work activities are carried out in a safe and efficient manner, and that all crew members are in compliance with government and company PPE (Personal Protection Equipment) standards.
  • Communicate with customers in a polite and courteous manner.
  • Strive to improve job skills and develop the potential for upward mobility.
  • Comply with all company policies and regulations.
  • Report site issues, concerns or possible improvements on site to your Foreman.
  • In Foreman absence, ensure total job completeness and job standards are met.
  • Operate power equipment including, but not limited to, commercial mowers, string trimmers, blowers, hedge trimmers, pruning saws, sod cutters, chain saws, and snow blowers.
  • Cut grass, trim edges, clean up refuse, blow trimmings, Assist in Weeding of landscape beds, Assist in hand pruning (3 D’s), (dead diseased or damaged) trees under 12’, annual and perennial care.
